1. Booking Requirements
   1. Each booking must include the following details:
      • Client(s) name
      • Number of client(s) travelling
      • Contact number
      • Pick-up address
      • Drop-off address
      • Flight Number & Terminal (if applicable)
      • Pick-up time
      • Vehicle type required (car or minibus)
   2. Bookings may be made via email, booking form via website, telephone call, text message, or WhatsApp message.
   3. A member of the Elite Travel Wales office team will confirm the booking by responding to the original message.
   4. The day before the booking, the person who made the booking will receive the driver’s contact details by email, text message, or WhatsApp. These details will also be sent directly to the passenger(s) travelling.
2. Payment Terms
   1. Payment must be paid in full two days prior to the departure journey.
   2. Payment methods will be agreed between Elite Travel Wales and the Client. We do prefer the methods of a payment link (SumUp) or a bank transfer.
   3. Invoices and receipts can be requested by the Client if required.
3. Cancellations and No-Shows
   1. Where a booking is cancelled or the passenger is not present (“No Pick-Up”) after the job has been allocated to a driver, the full fare will be charged.
   2. Cancellations by the Client with 24 hours’ notice will incur a charge of 50% of the fare paid.
   3. Cancellations by the Client with 12 hours’ or less notice will incur the full fare to be charged.
4. Client Responsibilities
   1. The Client must be ready at the agreed pick-up time and location.
   2. Seatbelts must be worn at all times.
   3. Smoking, consumption of illegal substances, and unruly behaviour are strictly prohibited inside the vehicle.
   4. The Client is responsible for ensuring they have sufficient time to reach their destination (e.g., for flights, meetings, events).
5. Airport Transfers
   1. Drivers will monitor flight arrival times and depart for the airport accordingly.
   2. A waiting period of 45 minutes from the flight’s confirmed landing time is included free of charge (this is for airport pickups only).
   3. Additional waiting time will be charged at £30 per hour, calculated in 15-minute increments.
6. Liability for Delays
   1. Elite Travel Wales shall not be held liable for any delay, loss, or inconvenience arising from circumstances beyond its reasonable control, including but not limited to traffic conditions, adverse weather, accidents, road closures, industrial action, or third-party increment.
   2. If a booked vehicle becomes unavailable, we reserve the right to provide an alternative of equal or higher standard.
7. Conduct of Chauffeurs
   1. All chauffeurs are licensed, insured, and trained to provide a professional service.
   2. Chauffeurs have the right to refuse transport if the Client’s behaviour is deemed unsafe, illegal, or abusive.
8. Data Protection
   1. Personal data provided during booking will be used solely for the provision of Services and in accordance with applicable data protection laws.
